Temperature-sensitive material shipping: procurement checklist

Define the shipment requirement from material-specific evidence before selecting a route. A request for “cold shipping” is incomplete unless the required conditions, journey, responsibilities and handling of an exception are understood.

Agree the evidence and responsibility

Ask which documented storage and transport conditions apply to the exact material and pack. State the origin, delivery destination, expected receiving hours and any known handover. Ask who is responsible for packaging selection, dispatch, monitoring, customs documentation and receipt.

Do not assume that an enquiry page establishes a validated cold-chain capability or an approved destination. The logistics page is the route for a requirement review; arrangements must be confirmed for the proposed supply.

Before dispatch

Item Record in the shipment plan
Conditions Source document, applicable limits and review owner
Route Origin, destination and anticipated handovers
Packaging Proposed arrangement and supporting evidence requested
Monitoring Whether required, what record is supplied and who reviews it
Receiving Contact, opening hours and immediate storage arrangements
Exceptions Who to contact and how a release decision is recorded

Where timing is uncertain, ask how delays are handled. Avoid substituting a generic temperature range for the actual requirement. Include shipment assumptions in the quotation so responsibilities do not first become visible after arrival.

At receipt

Record arrival time, packaging condition, label and lot. Retain any monitoring file and identify the journey it covers. If a record is missing or a condition appears outside the agreed limits, document the observation and seek an assessment against the applicable evidence. A recipient should not declare a material acceptable from packaging appearance alone.

Use the RFQ brief to keep destination and document requirements together. This checklist is a planning aid; it does not prescribe a temperature or approve a material after an excursion.
